In order for the Museum in the Park of Stroud District Council (the ‘Council’) to receive and process your request for assistance or respond to your enquiry, it is necessary to collect, store and process personal data necessary to provide you with relevant information, services or support.

The Museum in the Park (Stroud District (Cowle) Museum Service) is provided by means of a partnership between Stroud District Council and the Stroud District (Cowle) Museum Trust. The Council provide the operational management and funding for the service and the Trust are the legal guardians of the collections. Data is collected and processed by both bodies to deliver the Museum Service and follows the Data Protection Policies and Procedures set out by the Council.

This notice is provided within the context of the changes required by the current Data Protection legislation which consist of the EU General Data Protection Regulation (GDPR) and the Data Protection Act 2018 (DPA 2018).

We currently collect and process the following information:

  • First name

  • Last name

  • e-mail address

  • Contact telephone number

  • Post code and address

  • Culture segment data – not personal, though connected to an individual’s member record

  • IP address and Cookie identifiers

2. How do we get the personal information and why do we have it

Most of the personal information we process is provided to us directly by you for one of the following reasons:

  • To administer a member’s details.

  • To manage museum collections and associated information.

  • To provide an enquiry service in connection with exhibitions and collections.

  • To maintain a contacts register for those working or volunteering in the field of heritage or museums (e.g. Trustees, Local History Society reps, museum volunteers).

  • To maintain records relating to photographs taken for marketing and information purposes.

  • To process and administer bookings.

  • To manage mailing lists for the purpose of sending newsletters to supporters regarding events, insights or special promotions.

  • To send museum membership surveys to obtain feedback on services.

  • To analyse website usage.

3. When and with whom the information will be shared:

  • Shared with event provider/workshop in appropriate cases. When: Before scheduled event.

  • Photographs may be sent to printers/publishers for the purposes of producing Museum material. When: Upon request.

  • Information provided by visitors in Visitor Comment Books will be available to other visitors. When: Whilst on show.

  • Mailchimp (export from CRM via API) – refer to https://mailchimp.com/legal/privacy/. When: sending e-mails to supporters.

  • Civica UK Ltd – entered by data subject; only payment reference shared. When: making payments

  • Google Analytics https://policies.google.com/privacy?hl=en-US. When: someone visits museum website

  • Online rota system. When: Adding staff or volunteers to rota.

4. How long will we keep your Data for

5. How we protect your Information

Reasonable security measures are taken to ensure that personal information within our control is protected from accidental loss or alteration, inappropriate access, misuse or theft.

Please note however that where you are transmitting information to us over the internet, this can never be guaranteed to be 100% secure.

The Council Data Protection Officer will notify you promptly in the event of any breach of your personal data which might expose you to serious risk.

6. Do we use your personal Information for marketing

We will not without your prior express consent, use your information or pass it to another organisation for marketing or sales purposes.

7. Your rights

Under Data Protection law, you have the following rights including:

  • to be provided with information about how your personal data is processed

  • to have your personal data corrected

  • to have your personal data erased in certain circumstances

  • to object to or restrict how your personal data is processed
